Automatic EMS schedules and rosters — with targeted swaps in minutes

Opturan brings doctors, paramedics and drivers into a single schedule across substations: every crew gets a full complement and an ambulance of the required class, every employee gets their hours quota and a fair share of night shifts. If someone does not show up, the system rebuilds the assignment in minutes without breaking the rest of the plan

The effect is confirmed by test runs on your own data

CHALLENGES

Sound familiar at your station?

  • The monthly schedule is built by hand — the senior paramedic spends days on it, and the whole plan rests on one person
  • A no-show at six in the morning — the replacement is found by phone calls, with no time left to check rest rules
  • Medics and drivers are planned separately — the substation and the garage schedules are reconciled manually
  • People work one and a half positions — summarised hours are totalled by hand, and errors surface in the timesheet and during audits
  • Nights and holidays are shared unevenly — someone is always overloaded, resentment builds up and people leave
  • A crew is short-staffed — it is either taken off the line or sent out incomplete, in breach of Order 388n
HOW IT WORKS

How Opturan solves it

Four steps cover the whole process: station data → a monthly schedule of crews and ambulances → recalculation against reality → a ready roster

  1. STEP 01

    Station data

Employees with their positions and accreditations, vehicles by class, hourly crew demand and the familiar shift patterns — 24-hour, 12- and 8-hour. Imported from Excel or your record-keeping system

  2. STEP 02

    Monthly schedule

Opturan assigns people and vehicles to crews for the whole month: full complements, working-time rules respected, night shifts shared fairly. The draft is ready in minutes, not days

  3. STEP 03

    Recalculation against reality

Sick leave, holiday, a no-show — Opturan finds a targeted replacement without redrawing everyone else’s schedule, and checks it against work-and-rest rules

  4. STEP 04

    Roster and records

The output is a monthly schedule, a daily roster, printable forms and data for downstream timesheet accounting. What remains is to approve the schedule and have the staff sign off on it

CAPABILITIES

EMS rules are already in the system

Crew profiles per Order 388n

Paramedic, physician, intensive care, psychiatric — each profile has its own composition. Until the composition is complete, the crew’s shift does not count as covered

Ambulance class A/B/C

Each profile gets a vehicle of its own class: intensive care runs on class C only. Vehicles under repair or maintenance are kept out of the assignment

Work-and-rest rules

Between-shift and weekly rest, no two shifts back to back, an overtime cap, no night shifts for protected categories. Strict by default, but the strictness of each rule is configurable per station

Summarised hours and part-time positions

The 39/36-hour norms, an accounting period of a month or a quarter. Part-time positions and secondary employment work the way your station runs them: the system computes and checks each employee’s quota itself

People and clearances

Accreditations with expiry dates, preferences, crews that work well together, holidays and sick leave — all of it feeds into the assignment

Honest handling of shortages

A shortage does not break the computation: the system shows the uncovered shifts and applies the coverage priorities set by the station

DAY-TO-DAY COORDINATION

The schedule is in everyone’s pocket

  • Staff see their own shifts on the phone — no calls, no photos of the schedule pinned to the board
  • Swaps and changes arrive as a notification right after the recalculation
  • Preferences and absences are submitted from the phone — and go straight into the computation

We can provide the mobile app — or connect the one your station already uses
